Course administrative tasks

Before the course:

As soon as the course is confirmed, The #Manager asks the #Admin to book a room for minimum 30 participants and then update the coordination-tasks-list.xlsx when the booking is confirmed.

In order to book a room in the different course Locations, see the contact person in the OneNote page. Each Location contains the email of the contact person and procedure to follow.

Social Aperitive

When the #Manager asks for a social aperitive (only when the #Trainer agrees), #Admin must look for a restaurant or catering service, and book a table corresponding to the max number of participants + the trainers, indicating to the restaurant that this number is maximum and ask for deadline about fixing the definitive number and the menu choices. The following procedure should be followed:

#Admin should look for a bar or restaurant accommodating an aperitive, including small dishes and beverages. #Admin must request a group package with a vegetarian option and drinks, ensuring the budget per person does not exceed 30 CHF. #Admin should prepare a Form to collect information on the number of attendees and any dietary requirements (e.g., allergies, intolerances, vegan options). After the registration deadline, usually one week before the event, #Admin must confirm the number of participants and any dietary requirements with the venue and cc the #Manager on this communication.

Trainer Hotel

If a #Trainer is coming from another city, the #Manager will ask the #Admin to book a hotel room. Once the booking is confirmed, #Admin must send a copy of the bill to SIB Training Director and Senior Administrative Assistant. Then, #Admin must send the confirmation of booking to the #Trainer and the #Manager.

Coffee Breaks

D-10: #Admin must confirm with the #Manager the number of participants to the course and then order coffee breaks (morning and afternoon). When the order is confirmed, #Admin must notify the #Manager.

After the course:

D+5/7, #Admin adds the participants to the mailing list and if applicable, adds the participants from industry to the two industry lists.

When #Admin receives the OK from #Manager, #Admin creates the feedbacks to be sent to the #Trainers (Export in pdf format the answers of the participants - The link is on line 30 of the task list - then manually insert the answers to questions 10-11-12). In addition, #Admin must create the feedbacks to be uploaded on elixir (Demographic and quality metrics) by using the templates.

At the end of the month, #Admin sends an email to the financial department to cancel the pendings and to refund participants who cancelled in compliance with our rules (status CANCELLED). There are two different cases to handle:

Cancel pending entries: these are participants who have registered but who have not participated in the course and who have never paid the fees. The registration status is “cancelled”, and the registration fee is “pending”.

Reimburse people who have cancelled their participation in the course and who paid. The registration status is “cancelled”, and the registration fee is in “paid cc” (or “paid it” or “authorized cc”, the important thing is that this person has paid but cancelled their registration on time). #Admin must check with the #Manager or in RT that the participant has informed of the cancellation of his participation before the cancellation deadline (the deadline is indicated on the course description web page). In general, if the status is cancelled, it means that the person has cancelled their participation. If such is the case, the person can be reimbursed.

At the end of the month, #Admin prepares the accounting of the courses and sends them to Patricia Palagi. To do that, #Admin must fill in template course accounting by including the course fees and the travel/course expenses (Catering, hotels, social dinner, etc.)

Other #Admin tasks:

Receipt of payment: Often students need a payment receipt. Confirmation of payment is generally sufficient, it is accessible when you re-click, after having made the payment, on the payment link in the email of confirmation.

Sometimes, certain information must be featured in the receipt, in this case, #Admin updates his profile in course admin as explained below, then tell the student to re-click on the payment link provided : Find the course on course admin, right click on the course, “Students”, find the student, right click, “edit”, scroll all the way down and insert the info in the section “Inv. Address”, “save”, “close”. This section will then appear on the confirmation of payment that the student can find by clicking on the payment link.

Sometimes, an official invoice is needed. For that, #Admin uses the template to create the needed invoice.

RT: #Admin reads the emails. If #Admin has the answer, #Admin will take the ticket and answer it. If not, #Admin will assign it to the appropriate person (usually the #Manager of the course). There is a lot of SPAM. For those mails the procedure is the folowing : Bulk update > select mails > scroll down > make queue > choose SPAM > save.

Editing Videos: - #Manager sends to #Admin the raw video and the exact timing of the videos to cut. Once #Admin finished editing, #Admin puts the videos on the cloud.
- Youtube: Once #Manager confirms that the edited videos are good, #Admin uploads the video on YouTube, following the steps of the Tutorial.

Certificates for Basel students: When a student from the University of Basel asks for a “summary” certificate, #Admin must create one using the template and add the name of the student and the courses validated in the spreadsheet in order to have a copy of all the credits validated.

Short-Term Feedback: Once the feedback is closed, #Manager informs #Admin that he can share the last version of the feedback in pdf and a summary of questions 10, 11 and 12 (extracted from the excel) with the #Trainers. To create the feedback, #Admin export the online feedback in PDF format, then using Adobe Acrobat add manually the answers to question 10, 11 and 12 of the feedback.

Long-Term Feedback: Once per semester, long-term feedback (impact metrics) is sent to participants who have mentioned in the short-term feedback that they agree to participate in this study. #Admin is in charge of generating the excel list which includes all the courses that took place between 6 months and one year before as well as all the participants who agreed to take part in this study. First, #Admin must fill in the internal excel file with the name courses and dates as well as the participants who participate in the survey. These have entered their email in the very last question that appears on the short-term feedback. All necessary internal information is listed in the excel (course name, start and end date, number of participants, number participants in the study, email template). Secondly, a google form is created. This is simply copied from previous google form. The google form is in the google drive of SIB training > Long term feedback > long term feedback (xxth round). The questions remain same, only the first two drop-down menus need to be changed (names of course, course dates). For each course, an email is sent to each participant by cc. Once the survey response time has passed, the google form must be closed (go to google form > answers > close answers). Statistical data must be entered in the internal excel file. Finally, the data is entered on the ELIXIR platform (impact metrics). To do this, simply export all the answers in xsl format and format the file according to the template.

Annual collection of Short-Term Feedback forms: #Admin Process Guide See Illustration steps here

Overview: This guide outlines the process for conducting the annual short-term feedback collection of our training courses. At the end of each course, we collect feedback from the course participants on the course (the Short-Term Feedback). The compilation will gather all the answers from the Short-Term Feedback forms in a given timeframe, eg from Jun 2023 to May 2024. This is usually done once a year, before summer, and the result is used to plan the future programme of courses.

Frequency: Once a year.

Step 1: Verify Completion Status

Where?: Last line on the CTL (“Course Short-Term Feedback in annual collection”).

Action: If this cell is marked in green, the feedback from this course was already included in the previous collection. If the cell is grey, the course didn’t have a feedback form and it will not be part of the collection. If the cell is white, proceed with the feedback process as outlined below.

Step 2: Access the Feedback Form

Where?: Cell “Duplicate Short-Term Feedback in form” on the CTL.

Action: Click on the hyperlink corresponding to the course to open the feedback form.

Step 3: Navigate to Feedback Responses

Action: Once the form is open, click “responses” at the top left corner of the page.

Specifics: Directly go to question number 15.

Step 4: Fill in the Excel File

Where?: see Link in OneNote

Action: Record the score for each subpart of question 15 in the Excel file.

Repeat: Follow the same steps for questions 16 to 18.

Do not forget to verify that each row of the column “Counts” in the Excel file is the sum of all the columns.

Step 5: Detail Extraction for Question 19

Action: For question 19, click “details” related to the question in the Form.

Output: Copy and paste the answers into the Excel file.(scroll down in the Excel file until you see “Raw free-texts – question 19).

Step 6: Mark Completion in CTL.

Action: Once all tasks are completed, return to the CTL and mark the corresponding case in green to indicate that the feedback process for that course has been completed.

Step 7: Loop through all the courses in a given period (eg Jun 2023 to May 2024)

Action: Start from Step 1 until all the Short-Term Feedback courses for that given period are inserted in the Compilation.

ELIXIR Metrics Database (EMD) - Steps to Upload the Short-Term and the Long-Term feedback results:

There are 4 types of data that we upload to the ELXIR Metrics Database: 1) courses data, demographic data, feedback data and impact data.

  1. Courses data - to be completed
  2. Demographic data - in courseadmin, in the course page, select the students who attended the course (Registered), then click on the button “XLS ELIXIR”. It exports an Excel file with the data to be submitted to the EMD with the right template. Before submitting, fill up the first cell of the table with the event_code generated in the “courses data”.
  3. Short-Term feedback data - to be completed
  4. Long-Term feedback data - to be completed
